Terms of Service
01 Acceptance of terms
These Terms of Service ("Terms") constitute a legally binding agreement between you ("you" or "User") and Computer Consulting Wizards ("CCW", "we", "our", or "us") governing your access to and use of the Dossier software platform and any related services (collectively, the "Service").
By creating an account, clicking "I agree," or otherwise using the Service, you confirm that you have read, understood, and agree to be bound by these Terms and our Privacy Policy, which is incorporated herein by reference. If you do not agree, you must not use the Service.
If you are using Dossier on behalf of an organisation, you represent that you have authority to bind that organisation to these Terms, and "you" refers to both you individually and that organisation.
02 Description of service
Dossier is a software-as-a-service platform that guides users through structured client interviews covering design preferences, brand identity, and tone of voice. The Service processes interview responses — using third-party AI APIs — and generates markdown files intended to prime AI-assisted ("vibe") coding sessions.
We reserve the right to modify, suspend, or discontinue any aspect of the Service at any time, with reasonable notice where practicable. We will not be liable to you or any third party for any such modification, suspension, or discontinuation.
03 Accounts & eligibility
Eligibility
You must be at least 18 years old and capable of forming a binding contract to use the Service. The Service is not intended for use by persons under 16 years of age.
Account registration
You must provide accurate, current, and complete information when creating your account, and keep that information up to date. You are responsible for maintaining the confidentiality of your account credentials and for all activity that occurs under your account.
Account security
You agree to notify us immediately via the Support page in the app if you suspect any unauthorised access to or use of your account. We are not liable for any loss or damage arising from your failure to keep your credentials secure.
One account per user
Each subscription is for a single user. You may not share your account credentials with others or allow multiple individuals to access the Service through a single account unless you have purchased a plan that expressly permits multi-seat access.
04 Subscriptions & payment
Subscription plans
Dossier is offered on a recurring subscription basis (monthly or annual). Current pricing and plan features are described on our pricing page. We reserve the right to change pricing with at least 30 days' notice to existing subscribers.
Billing
All payments are processed by Stripe. By providing your payment details, you authorise us to charge the applicable subscription fees to your payment method on a recurring basis until you cancel. You are responsible for ensuring your payment details remain current and valid.
Automatic renewal
Subscriptions renew automatically at the end of each billing period (monthly or annual) unless you cancel before the renewal date. You can cancel at any time through your account settings.
No refunds
All subscription fees are non-refundable. Cancellation stops future charges but does not entitle you to a refund of fees already paid, including for any unused portion of a subscription period. This applies to both monthly and annual plans.
Taxes
Prices shown exclude any applicable taxes (including VAT, GST, or sales tax). You are responsible for any taxes applicable to your purchase. Where we are required by law to collect such taxes, they will be added to your invoice.
Failed payments
If a payment fails, we may suspend access to your account until the outstanding balance is resolved. We will attempt to notify you by email before suspending access.
05 Acceptable use
You agree to use the Service only for lawful purposes and in accordance with these Terms. You must not:
- Use the Service to upload, transmit, or store content that is unlawful, harmful, defamatory, obscene, or infringes any third party's rights.
- Attempt to gain unauthorised access to any part of the Service, its infrastructure, or other users' accounts.
- Use the Service to transmit unsolicited communications (spam) or engage in any form of automated scraping or data harvesting.
- Reverse engineer, decompile, disassemble, or otherwise attempt to derive the source code of the Service.
- Resell, sublicense, or otherwise commercialise the Service without our express written permission.
- Introduce viruses, malware, or other malicious code into the Service.
- Impersonate any person or entity, or misrepresent your affiliation with any person or entity.
- Use the Service in any way that could damage, disable, overburden, or impair its operation.
We reserve the right to suspend or terminate your account immediately if we determine, in our sole discretion, that you have violated this section.
06 Your content
Ownership
You retain all ownership rights to the content you submit to Dossier, including interview responses and any client information you enter ("Your Content"). The markdown files generated by the Service from Your Content are also yours to use freely.
Licence to us
By using the Service, you grant us a limited, non-exclusive, royalty-free licence to store, process, and transmit Your Content solely as necessary to provide the Service to you. We do not claim any ownership interest in Your Content.
Your responsibility
You are solely responsible for Your Content and for ensuring that you have all necessary rights, consents, and permissions to submit it to the Service — including any personal information relating to your clients. We are not responsible for any content you submit.
No training on your content
We do not use Your Content to train AI models without your explicit, informed consent.
07 AI providers & client data
Dossier uses third-party AI APIs — currently provided by Anthropic and/or OpenAI — to process interview responses and generate markdown output.
What is shared with AI providers: Only the responses entered during an interview session are transmitted to AI providers. Your Dossier account information (name, email address, billing details) is never shared with AI providers.
Client personal data in interviews: Interview responses may contain personal information about your clients — such as their name, phone number, email address, or postal address. By using the Service, you acknowledge that this information will be transmitted to Anthropic and/or OpenAI for processing.
Your obligation to inform your clients
Because interview responses may contain your clients' personal data, you are responsible for ensuring your clients are informed that their information may be processed by third-party AI providers (Anthropic and/or OpenAI) as part of Dossier's service. Depending on your jurisdiction and your clients' locations, this may be required by applicable data protection law (including GDPR).
We recommend including a clear disclosure in any client-facing intake process, engagement letter, or privacy notice you provide. A suitable form of words might be:
"Information you provide during the onboarding process may be processed by Dossier (dossier.ccwizards.com) and its AI service providers, Anthropic and OpenAI, for the purpose of generating project documentation."
We are not responsible for any failure on your part to obtain the necessary consents or provide the necessary disclosures to your clients. You agree to indemnify us against any claims arising from such failure (see Section 12).
AI provider policies
Your use of the AI-powered features of the Service is also subject to the terms and privacy policies of our AI providers. We encourage you to review:
08 Intellectual property
Our IP
The Service, including its software, design, user interface, trademarks, and all content we create, is owned by or licensed to us and is protected by intellectual property laws. Nothing in these Terms grants you any right, title, or interest in the Service beyond the limited licence to use it as described here.
Feedback
If you submit suggestions, ideas, or feedback about the Service ("Feedback"), you grant us a perpetual, irrevocable, royalty-free licence to use that Feedback for any purpose without obligation or compensation to you.
Generated output
The markdown files generated by the Service based on Your Content belong to you. We make no claim of ownership over output files.
09 Privacy
Our collection and use of personal information is governed by our Privacy Policy. By using the Service, you acknowledge that you have read and understood our Privacy Policy.
10 Disclaimers
THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, EITHER EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, TITLE, AND NON-INFRINGEMENT.
We do not warrant that:
- The Service will be uninterrupted, error-free, or free from viruses or other harmful components.
- Any output generated by the Service (including AI-generated markdown files) will be accurate, complete, suitable for any particular purpose, or free from errors.
- The Service will meet your specific requirements.
AI-generated output is provided as a starting point for your work. You are responsible for reviewing, editing, and verifying all output before use. We do not guarantee the quality or fitness of any AI-generated content.
11 Limitation of liability
TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, CCW AND ITS OFFICERS, DIRECTORS, EMPLOYEES, AND CONTRACTORS SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES — INCLUDING LOSS OF PROFITS, DATA, GOODWILL, OR BUSINESS INTERRUPTION — ARISING OUT OF OR RELATED TO YOUR USE OF THE SERVICE, EVEN IF WE HAVE BEEN ADVISED OF THE POSSIBILITY OF SUCH DAMAGES.
IN NO EVENT SHALL CCW'S TOTAL AGGREGATE LIABILITY TO YOU FOR ALL CLAIMS ARISING OUT OF OR RELATED TO THESE TERMS OR THE SERVICE EXCEED THE GREATER OF (A) THE TOTAL FEES PAID BY YOU TO CCW IN THE TWELVE (12) MONTHS PRECEDING THE CLAIM, OR (B) ONE HUNDRED US DOLLARS (USD $100).
Some jurisdictions do not allow certain limitations of liability. In such jurisdictions, our liability is limited to the greatest extent permitted by law.
12 Indemnification
You agree to indemnify, defend, and hold harmless CCW and its officers, directors, employees, and contractors from and against any claims, damages, losses, liabilities, costs, and expenses (including reasonable legal fees) arising out of or relating to:
- Your use of the Service in violation of these Terms.
- Your Content, including any personal data relating to your clients that you submit to the Service.
- Your failure to obtain required consents or provide required disclosures to your clients regarding AI processing of their personal data.
- Your violation of any applicable law or the rights of any third party.
13 Termination
By you
You may cancel your subscription and close your account at any time through your account settings. Cancellation takes effect at the end of the current billing period. No refunds are issued for unused time (see Section 4).
By us
We may suspend or terminate your access to the Service immediately and without notice if you breach these Terms, if we are required to do so by law, or if we reasonably believe your use poses a risk to the Service or other users. We may also terminate the Service entirely with 30 days' notice.
Effect of termination
Upon termination, your right to access the Service ceases immediately. Your data will be handled in accordance with our Privacy Policy — personal data is deleted within 90 days of account closure. Sections 6 (Your Content — ownership), 8 (Intellectual property), 10 (Disclaimers), 11 (Limitation of liability), 12 (Indemnification), and 14 (Governing law) survive termination.
14 Governing law & disputes
Governing law
These Terms are governed by and construed in accordance with the laws of the State of New Hampshire, United States, without regard to its conflict of law principles.
Dispute resolution
We encourage you to contact us first if you have a concern — most issues can be resolved quickly through our support channel. For any dispute that cannot be resolved informally, you agree that the exclusive jurisdiction shall be the state and federal courts located in New Hampshire, and you consent to personal jurisdiction in those courts.
Class action waiver
To the extent permitted by law, you agree to resolve disputes with us on an individual basis only, and not as part of a class or representative action.
15 Changes to these terms
We may update these Terms from time to time. When we make material changes, we will notify you by email or by displaying a prominent notice within the app at least 14 days before the change takes effect. The "last updated" date at the top of this page will always reflect the most recent revision.
Your continued use of the Service after the effective date of updated Terms constitutes your acceptance of the changes. If you do not agree to the updated Terms, you must stop using the Service and cancel your subscription before the effective date.
